Our own reporting system: client dashboards that refresh from Search Console and GA4 on their own, monthly reports, and a page review portal for our SEO team.
Our clients wanted to see, in plain English, what we did on their site each month and what it changed. So we built our own reporting system: standard client dashboards that refresh from Google Search Console and GA4 on their own, monthly reports, and a page review portal our SEO team uses across 12 client sites.
Earlier client reports were updated by hand and soon fell behind. This system fills in every number automatically, so the team only writes the part clients actually read: what we did and why.
Several clients had report pages that nobody kept up to date, because each one had to be edited by hand. A report that is a month behind is worse than no report at all.
Search Console reports on a delay of two to three days, so a window that includes the latest days always shows a false drop. Some GA4 properties also count every event as a conversion, which turns a few hundred visits into thousands of so called conversions.
Our SEO team works across more than 2,600 client pages. They needed one place to review each page, file remarks, have work checked and see what each page ranks for, without separate logins for every client’s Search Console.
Every client gets the same dashboard, filled from their own data files, behind their own login. Tabs cover this month, what changed, monthly reports, results, priorities, where we started and what we do each month. Improving the template improves every client’s dashboard at once.
Each task is logged as it ships, with a title, the problem and what we did. The monthly report builds itself from that log, week by week, with a 12 month archive of past months.
The portal lists every page from each client’s sitemap, refreshed nightly, with the searches each page ranks for and charts for clicks, impressions and position. A worklist orders pages by opportunity. Junior work is checked by a senior before release, and a nightly check confirms that work marked done is actually live on the page. Citations and backlinks have their own lists.
Client dashboards now refresh on their own every week, and no figure in a client report is typed by hand. The review portal covers 12 client sites and more than 2,600 pages. Finished work flows from the portal into each client’s monthly report, so what the SEO team does is what the client sees.
The same approach runs behind our SEO and content and technical SEO services.
